| Event name* | The name as you want it published. No ALL CAPS, no marketing strapline. |
| State / UT* | One of the 36 listed on this site. |
| District* | The district the event physically takes place in. If it moves between districts, send one email per district. |
| City / town | Helpful when the district name and the town name differ. |
| Venue | Venue or grounds. Leave out if it is spread across a town. |
| Category* | Festival, music, food, art, heritage, sport, film, literature, craft, spiritual or other. |
| Dates* | YYYY-MM-DD to YYYY-MM-DD. If this year’s dates are not fixed yet, write the season instead ("early December") and we will publish that. |
| Recurring | Yes if it runs every year. We will keep the listing and ask you for dates each cycle. |
| Description* | 100–300 words in plain prose. What it is, who it is for, what actually happens. We publish it close to as written, so write it the way you want it read. |
| One-line summary* | Under 160 characters. Used on cards and in search results. |
| Organiser* | The organisation or individual running it. |
| Contact email* | A public address we can list, or a private one we only use to reach you. Tell us which. |
| Contact phone | Published only if you say it may be. |
| Website | Full URL, including https:// |
| Tickets | Booking URL, or "free entry". |
| Tags | Three to five words that would help someone find this. |
| Image | Attach one landscape photo, at least 1200px wide, that you own or have the right to license. Tell us the credit line. |

A few ground rules
- One email per event. If it runs in three districts, that is three emails — each one gets its own page under its own district.
- The event has to be open to the public. Private functions, internal company events and invite-only gatherings are not listed.
- Send an image only if you own it. Give us the credit line you want printed. We will not take one off your website for you.
- We publish what you tell us. Anything you leave out is simply absent from the page. We do not fill in a plausible date or a likely ticket price.
- Tell us when things change. A listing with last year’s dates on it is worse than no listing, so write in and we’ll update or remove it.
